What sort of tasks can you do for me?

Basically any administration or secretarial task that can be completed remotely. We have a wide range of services that we can provide to include:
  • Creating and maintaining databases to manage your prospects, clients and suppliers.  
  • Setting up E-mail marketing campaigns - i.e. Mail Chimp.
  • Audio transcription service i.e. typing any reports or typing minutes of meetings.  
  • Data entry and data cleansing of information.
  • Managing diaries with use of a shared calendar.
  • E-mail management.
  • Financial administration i.e. quotes, invoicing and credit control.

I have heard Virtual Assistants only work from home, do you work from home?

No, we have our own secure office in Alcester, Warwickshire where clients can meet with us to discuss their work and build a good working relationship.    

What are your office hours?

The office opening hours are Monday to Friday 9.00 a.m. until 5.00 p.m.

I am concerned about confidentiality and security of information - how do you deal with this?

Due to our expertise working in a legal regulatory organisation we take security of information and confidentiality very seriously. All laptops are encrypted; we are registered for data protection and use a secure file transfer service. Both parties sign confidentiality agreements before any work is commenced. We have a secure office with shredding facilities to shred any paper print-outs (which are kept to a minimum). All files can be encrypted if required.  

Are you insured?

Yes we have adequate professional indemnity and public liability insurance. Further information can be provided upon request.    

What experience and skills do you have?

We have administration management and office management experience in both small and large companies. Our skills are very broad including executive secretarial skills to e-mail marketing and event planning experience. We have used extensive CRM systems and databases, specialising in word, excel and power point. We have managed central e-mail accounts and have excellent customer services skills and a professional and friendly telephone manner.

How will I be charged?

You will be invoiced at the end of each month for any hours of work completed. We keep detailed time-sheets of all work completed. Payment terms are strictly 14 days from the date of invoice.

How much will it cost?

Our rates are very reasonable. Typing is charged at £1.20 pence per dictated minute. Our hourly rate starts from £17/hour and is charged for each particular administration task.

Will I have to sign a contract? 

No there are no contracts and all services are totally flexible. You will only pay for the hours you require and even if you only need a couple of hours of support per month we can assist.

How do I get my documents to you?

The most secure way to send us documents is through our online file transfer service located on this site. Here you can send us upto five documents at a time regardless of size. This system fully encrypts your documents for optimum security.

Alternatively you can share with us your GoogleDrive or OneDrive folders so we can access the documents from there or simply email them to us. 

We do advise that the secure file transfer service is by far the safest option.

I am on a tight deadline, how quickly can you complete my task?

We are dedicated to meeting client deadlines and we are proud to say we have maintained a 100% track record of this so far. Once you have submitted a task to us we will give you a realistic estimation as to how long it will take us to complete it. The last thing we want is to not meet your expectations but at the same time if we feel it is physically impossible to complete the task within the deadline you have stated we may advise you increase it.

Can we meet to discuss my requirements?

Of course, although we are a 'Virtual' company we are more than happy to meet and discuss your requirements. For us to provide the best service possible it is important that we build a good working relationship and understand your business.
